What to Ask a Japanese Hotel Before Bringing a Baby
What to ask a Japanese hotel before bringing a baby, with copy-ready English and Japanese requests for sleep, feeding, diapers and allergies.
Quick Answer: What to ask a Japanese hotel before bringing a baby: at a Welcome Baby Inn, begin from the positive expectation that staff are accustomed to young families, then give them the details needed to help well. Send the child's age, booked room and reservation number and ask about the baby bed, sleeping layout, bathing equipment, diaper disposal, food heating and allergy handling. Translation apps make these routine exchanges much easier; use direct written confirmation for allergies and essential sleep equipment.
If you are still choosing a certified setup, RIHGA Royal Hotel Kyoto is one current example with a named Japanese-Western Welcome Baby room. The checklist below works at certified and non-certified hotels alike.

The eight questions to send after booking
At a certified hotel, these questions are not an attempt to teach the staff how to host a baby. The assessment already considers service, meals, bathing and shared facilities, and many listed properties handle baby equipment and family requests as a normal part of operations. A short message simply lets that experienced team match its resources to your child, room and arrival.
The most useful hotel message is short enough for staff to answer item by item. Replace the brackets, remove anything you do not need and keep the hotel's reply with your reservation.
| Need | English request | Japanese request | Answer you need |
|---|---|---|---|
| Baby bed | Can you confirm one baby bed for our room? | 客室にベビーベッド1台を確約していただけますか。 | Confirmed, or request only |
| Product limit | What are its age, weight, height and standing limits? | 対象年齢、体重・身長制限、つかまり立ちに関する利用条件を教えてください。 | The hotel's exact eligibility rule |
| Sleep layout | Will the baby bed fit without blocking the entrance or bathroom? | ベビーベッドを置いても、入口や浴室までの通路を確保できますか。 | Safe placement in the booked room |
| Bed guard | Can you confirm a bed guard for a child aged [age]? | [年齢]歳の子ども用にベッドガードを確約していただけますか。 | Eligibility and confirmed quantity |
| Bathing | Can you provide a baby bath and bath chair? | ベビーバスとバスチェアを用意していただけますか。 | Item, collection point and charge |
| Diapers | Is there a sealed diaper bin, and may used diapers be left in it? | ふた付きのおむつ用ごみ箱はありますか。使用済みおむつを入れておいてもよいですか。 | Disposal method, not just bin availability |
| Feeding | Where and when can you warm baby food or sterilize a bottle? | 離乳食の温めや哺乳瓶の消毒は、どこで何時まで対応できますか。 | Location, hours and equipment |
| Allergy | Our child has an allergy to [allergen]. Can the hotel accommodate it, and what cross-contact remains possible? | 子どもに[アレルゲン]のアレルギーがあります。対応の可否と、調理時の混入可能性について書面で教えてください。 | A direct written decision from food-service staff |
Start the message with the reservation, not the equipment
Hotel staff need to find the booking before they can judge what fits. Put the reservation holder, confirmation number, stay dates, booked room and child's age at the top. If the child cannot yet stand, say so; that detail can determine whether the hotel's baby bed is permitted.
A clean opening is: “Reservation name: [name]. Confirmation: [number]. Stay: [dates]. Room: [exact room]. We are travelling with one child aged [months/years]. Please confirm the items below.” The matching Japanese is: “予約名義:[氏名]、予約番号:[番号]、宿泊日:[日付]、客室タイプ:[客室名]です。[月齢・年齢]の子ども1名と宿泊します。以下について確認をお願いします。”
Do not send passport numbers, payment-card details or other sensitive data in an ordinary email. The hotel should be able to locate the reservation using the confirmation number and lead guest's name.
“Baby bed” can mean crib or cot, but the limits control
Many Japanese hotels use the English term “baby bed” where a British or Australian traveler would say cot and a North American traveler would say crib. The label is not a specification. Ask for internal dimensions and product limits if your child is older, tall, mobile or accustomed to a travel cot.
Grand Mercure Okinawa Cape Zanpa Resort's current English equipment FAQ shows why the extra question matters. Its baby bed is limited to a child who is not yet standing; its bed guards cover ages 1.5 to 4; and its baby bath covers ages 0 to 3 months. A reply that says only “available” could conceal all three restrictions.
Of the eight requests in the table, three concern age- or development-sensitive equipment—a baby bed, bed guard and baby bath. All three have an explicit eligibility boundary in that September 2026 hotel example, so send the child's age and standing ability before treating any item as usable.
Bed guards, low beds and floor sleep are different solutions
A bed guard does not turn every adult bed into an infant-safe sleep space. Ask the hotel where the guard attaches, how many sides remain open and whether the mattress or bed base is compatible with that product. If the hotel cannot confirm the arrangement, request a different room type rather than improvising with furniture.
A low bed reduces fall height but does not answer cot safety or occupancy. Tatami can provide a useful place for supervised play, while futons can give older toddlers a lower sleeping surface, but the hotel's booked occupancy and bedding rules still apply.
The exact certified room is therefore important. The Welcome Baby Inn operator assesses submitted room types, not a hotel name in the abstract. See what the Welcome Baby Inn badge proves and how to keep the certified setup attached to your booking.
Ask where bottle preparation and baby-food heating happen
An electric kettle in the room answers only one part of feeding. It does not provide a bottle sterilizer, freezer, sink intended for washing feeding equipment or microwave. Ask which equipment is in the room, on the floor or handled by restaurant/front-desk staff.
Hours matter too. “The restaurant can warm baby food” is not useful if the restaurant closes before a late arrival or refuses opened homemade food. Ask whether sealed commercial baby food and food brought from home are treated differently, and whether staff can help outside restaurant hours.
If chilled milk or medicine is part of the routine, ask whether the room appliance is a refrigerator or a small cooler and whether the hotel can store the item at a stated temperature. For medicine, follow the product's storage instructions and obtain an explicit answer; do not infer safety from the presence of a minibar.
Diapers, bathing and laundry need operational answers
A diaper bin is useful only if you know what the hotel expects. Some properties remove it during housekeeping; others ask guests to tie diapers in separate bags. Confirm whether used diapers may remain in the room bin and what to do when housekeeping is skipped.
For bathing, distinguish the private room bathroom, a reservable family bath and a public onsen. A baby-friendly room does not establish that a child in diapers may enter a public bath. The separate guide to onsen with children in Japan covers those rules.
For stays longer than two nights, ask whether laundry is inside the room, on the same floor or elsewhere in the building. Also ask whether machines take coins, cards or an app, and whether detergent is supplied. A same-floor laundry can be a meaningful difference after a feeding spill; a nearby commercial laundromat is not the same thing at bedtime.
Allergies and emergencies require written confirmation
Translation apps are appropriate for low-risk requests such as asking where to collect a baby bath or whether housekeeping can empty a diaper bin. They are less reliable when the answer involves ingredient sourcing, shared fryers, cross-contact, medicine or emergency symptoms.
For a food allergy, name the allergen, the reaction risk and whether cross-contact is acceptable. Ask the hotel to have the restaurant or banquet team answer in writing rather than relying on a general front-desk “probably.” Carry the child's normal medical plan and any clinician-recommended medication; a hotel reply is operational information, not medical advice.
If an essential request cannot be confirmed, change the room, bring the equipment or choose another hotel while the booking is still refundable. A reassuring translation on arrival cannot create unavailable stock.
When to send each request
| Timing | Send or check | Use translation app? | Required outcome |
|---|---|---|---|
| Before payment | Occupancy, exact room, cot fit and allergy capability | Useful for reading; get hotel confirmation | The stay is workable before cancellation penalties |
| Immediately after booking | Reserve baby bed, guard, bath and diaper bin | Yes for drafting | Written confirmed/requested status |
| After any booking change | Repeat every equipment request under the new number | Yes | New confirmation tied to the new booking |
| About 72 hours before arrival | Reconfirm room, arrival time and essential equipment | Yes | No unresolved essential item |
| At check-in | Show the saved reply and ask where items are | Yes for routine directions | Equipment delivered or collected |
| During meals or an emergency | Use the written allergy plan or seek professional help | Do not rely on it alone | Direct human confirmation appropriate to the risk |

FAQ: Asking a Japanese hotel about baby equipment
What information should I put in the first message?
Give the reservation name, confirmation number, dates, exact room and each child's age. Add standing ability when requesting a baby bed, because at least one current hotel example limits the bed to a child who is not yet standing.
How far ahead should I ask for a crib or cot?
Ask immediately after booking and reconfirm about 72 hours before arrival. Loan stock is often limited, and a request is not the same as a confirmed item.
Can a translation app handle hotel requests in Japan?
Yes for routine tasks such as locating a diaper bin or requesting a baby bath. For allergies, medicine, emergency symptoms and essential sleep equipment, obtain a direct written confirmation rather than relying on machine translation alone.
Which baby-equipment limits should I ask about?
Ask for age, weight, height and standing limits. In one current September 2026 hotel example, the baby bed excludes children who can stand, the bed guard covers ages 1.5-4, and the baby bath covers ages 0-3 months.
